The Situation

TAL had been hosting their annual conference and awards evening with EVT as their delivery partner for fifteen years. What began as a well-produced corporate conference had grown into one of the flagship events on TAL's internal calendar, an event that shaped culture, communicated strategy, and recognised the people who drove the business forward.

As the business evolved, so did the brief. TAL identified two priorities that would define the next phase of the conference. The first was sustainability: a genuine commitment to reducing the event's environmental footprint in a way that was meaningful rather than cosmetic. The second was reinvention: the awards evening had settled into a comfortable format that no longer reflected the level of recognition TAL wanted to give its high achievers. And running across both priorities was a desire to create stronger team connection, moments that built genuine bonds rather than simply occupying delegate downtime.

The Problem

Evolving a long-running event is one of the most nuanced challenges in corporate event management. There is an established delegate expectation, a format that has become familiar, and a client relationship with enough shared history that change needs to feel like an improvement rather than a departure.

The risks were real and specific. Moving to a paperless model risked feeling like a cost-cutting measure if not executed with care. Redesigning the awards evening risked disrupting a format that delegates had come to associate with recognition and prestige. And introducing team-building elements into a conference program that was already content-heavy required a disciplined creative approach to ensure they added energy rather than time.

Every change needed to feel like an upgrade. None of it could feel like a compromise.

The Solution

EVT introduced a fully paperless conference strategy, transitioning the event away from printed materials and traditional documentation across every touchpoint. A dedicated event app became the central communications and logistics hub, housing travel documents, itineraries, real-time updates, and all delegate communications in a single, clean digital experience.

The app was designed to do more than replace paper. EVT built it as an active engagement tool, incorporating surveys and feedback mechanisms that gave delegates a voice throughout the conference. The insights gathered through these tools were fed directly back into conference planning, creating a cycle of continuous improvement informed by the people the event was designed for.

Team-building experiences were designed into the program with genuine strategic intent. Rather than treating them as filler between sessions, EVT built interactive experiences that were purposeful, energetic, and designed to create real moments of connection across teams and functions. Shared challenges, creative activities, and experiences that required collaboration produced the kind of informal bonds that sustain a positive culture long after the conference ends.

The awards evening was reimagined entirely. EVT moved the focus away from the standard gala dinner format and towards an experience built around recognition and storytelling. Each award was treated as a moment in its own right, designed to genuinely celebrate the individual in front of their peers rather than move efficiently through an agenda. A stronger design-led approach across event identity, styling, menus, and production created an atmosphere that matched the significance of the recognition being given.

The Results

TAL's conference is now a genuinely sustainable event model. The transition to a paperless format significantly reduced printed materials across every program cycle, and communication efficiencies through digital delivery have improved consistently with each iteration.

Survey participation through the app increased substantially, giving TAL access to richer, more actionable delegate insights than the previous format could capture. This feedback loop has directly shaped conference content and structure in subsequent programs.

Interactive team experiences consistently generated strong positive feedback from delegates, with team connection and energy cited as standout elements across multiple event cycles. The experiences designed by EVT created the informal bonds and shared references that contribute to a stronger working culture beyond the conference room.

The awards evening transformation produced a measurable shift in how delegates experienced and responded to recognition moments, with elevated emotional engagement and a stronger sense of occasion around each award.

And underpinning all of it: fifteen years of partnership, sustained through a shared commitment to continuous improvement, creative evolution, and always making the next program better than the last.
